Job Description

Armand Corporation, an award-winning M/WBE Construction Management firm celebrating over 34 years in the industry, is seeking a full-time  Document Control Specialist in all disciplines for a federal construction project related to complex rail, transit, and other transportation projects in NY & NJ.

The ideal candidate has at least 5 years  of experience working with railway and transit construction projects, as well as a Bachelor's degree in a field relating to Construction, Architecture, or Engineering.

This position will be full-time, on-site, and will report to our Newark, NJ location.

JOB RESPONSIBILITIES include, but are not limited to, the following:

  • Assist project managers and team members with administrative tasks including document preparation report generation data entry and correspondence.
  • Coordinate meetings appointments and travel arrangements for project staff visiting teams and stakeholders.
  • Maintain project files records and databases ensuring accurate and efficient documentation of project activities.
  • Manage incoming and outgoing project correspondence emails and phone calls directing inquiries to the appropriate personnel.
  • Support procurement activities including purchase orders invoices and vendor coordination.
  • Assist in organizing project events team building activities and office functions to foster a positive work environment.
  • Collaborate with internal departments contractors and external partners to facilitate communication and information flow.
  • Other related duties and tasks as required.

QUALIFICATIONS include, but are not limited to, the following:

  • High school diploma or equivalent; additional certification in Office Administration or related field is a plus.
  • Proven experience as an Administrative Assistant Office Administrator Document Controls Specialist or similar role preferably in a construction or engineering environment.
  • Proficiency in Microsoft Office suite (Word Excel PowerPoint) email management and office software.
  • Strong organizational skills attention to detail and ability to multitask effectively in a fast-paced environment.
  • Excellent communication interpersonal and teamwork abilities.
  • Ability to maintain confidentiality handle sensitive information and prioritize tasks efficiently.
  • Ability to pass a TWIC and/or SWAC Background Check at High Level.
  • Valid drivers license may be required depending on site location.
  • Strong written and verbal communication skills.
  • Must be authorized to work in the United States.
  • Must be fluent in English (both written and spoken).
